Lack of project and task management methodology, difficulty of assessing department and employee workload, missed deadlines due to lack of tracking and no system in completing tasks and projects

As a UX designer i saw one solution that could help and with support of my team and project lead i built the architecture of workspaces in Notion & Jira sotfwares to optimiza current workflows in department. Building and setting up new software for my team helped in tracking down progress of ungoing projects, seeing workloads of each employee, tasks and process of tasks & project management optimzed by implementing these softwares
Creating and integrating new workspace for my team was a complicated task, and everything started with lack of tracking daily tasks and current projects

I worked at the department with bunch of tasks and projects that should be completed and i saw that my collegues and head of department struggled with completing them on time, seeing department workload per each employee and managing whole system of projects and tasks.
Seeing clear problem i suggested to my head to implement new methodology with project management sotfware. The first option was Notion software as main system.
At first, Notion was a great option and my collegues liked the adaptability and freedom that it has, however as we had high workload, tracking projects, documents and tasks became more complex than it was at first iteration and testing of system.
So then, i analysed, asked for feedback about current workflows in software, and i defined that collegues struggled with understanding the Notion as they did not have experience in working with the software.
After that our team defined the Jira was the best option, as they worked and whole interface was easier, and users had less freedom of creating tasks.
So, with business analyst we integrated Jira software as our main system of tracking down the progress of tasks and projects.
This experience, helped me to optimize the workflow of the whole department, making it easier and user-friendly. It helped the head of the department to see the workload and whole information about current tasks and projects
